PropoBox connector for Claude
Work on your PropoBox proposals from a Claude conversation. This page covers setup, every tool, what Claude can read and change, and how to turn it off.
Overview
PropoBox is in Claude's connector directory. The connector is a remote MCP server at https://www.propobox.com/api/mcp. Once you approve it, Claude can read your proposals, clients, templates and follow-up list, create drafts (also from a template or a past proposal), and, after you confirm, send proposals and follow-ups, extend a deadline or record that a deposit arrived. It acts as you, with your plan's limits and your team role.
What you need
- A PropoBox account on any plan, including Free.
- A Claude account, in Claude on the web, the desktop app or mobile. If your Claude organization manages connectors, an admin may need to allow PropoBox first.
Connect
From the directory
- In Claude, open Customize, then Connectors, and look for PropoBox under Discover. Or open the PropoBox listing.
- Choose Connect. A PropoBox page opens: sign in if you are not already, then review what Claude will be able to do and choose Allow.
- Back in Claude, ask "Who should I follow up with today?" to check it works.
By address, if it is not in your list yet
- In Claude, open Customize, then Connectors, choose Add, then Add custom connector.
- Name it PropoBox and paste
https://www.propobox.com/api/mcpas the URL, then continue as in steps 2 and 3 above.
Sign-in uses OAuth 2.1: you sign in and approve access on a PropoBox page, and Claude receives an access token for your account. It never sees your password. Claude registers itself automatically (dynamic client registration), so there is nothing to copy from PropoBox.
Tools
Read tools change nothing. Write tools change your account or contact a client, and are marked so Claude knows to ask first.
| Tool | Type | What it does |
|---|---|---|
List proposalslist_proposals | Read | Your proposals and your team's, newest first, with status, client, total and links.Inputs: status (all, draft, sent, accepted, declined, expired), search, limit (1 to 50) |
Get a proposalget_proposal | Read | One proposal in full: client, line items, totals, terms, payment link, status, how the client read it (visits, reading time, last visit; time per section on Pro and Business), and for a signed one how it was signed and whether its record still matches its fingerprint.Inputs: proposal_id, for example PROP-20261014-AB12CD34 |
Who to follow up withget_follow_ups | Read | Proposals read without an answer, not opened, bounced or close to expiry, each with what happened and a suggested note; signed proposals whose deposit is not marked as received; the last 90 days in numbers.Inputs: None |
List clientslist_clients | Read | Your saved clients (name, email, company), to address a new proposal.Inputs: search, limit (1 to 50) |
List saved templateslist_templates | Read | Your saved templates and your team's, with title, line items, total and the agreement each one carries. Templates in Advanced mode are marked: Claude cannot start from those.Inputs: search |
Create a proposal (draft)create_proposal | Write | Creates a draft from what you wrote: title, description, client, line items with prices and optional extras, dates, terms and an optional payment link with a deposit share. It can start from a saved template or a past proposal, which bring their lines, terms and your agreement (a past proposal also brings its payment link, logo and, if you name no client, its client); what you pass replaces them. You can also attach agreement text you give it. Nothing is sent.Inputs: title, client, line items, currency (USD, EUR, GBP, TRY), optional dates, terms, payment_link, deposit_percent, template_id or copy_from_proposal_id, include_agreement, agreement_title, agreement_text |
Send a proposalsend_proposal | Write | Emails the proposal to the client in your name, replies to your inbox, or marks it sent so you can share the link yourself.Inputs: proposal_id, delivery (email or link), to, subject, message, valid_until |
Send a follow-upsend_follow_up | Write | Emails the client a short note with the proposal link, for a proposal still waiting for an answer. At most one per proposal per day.Inputs: proposal_id, message (optional; the suggested note otherwise) |
Extend a proposalextend_proposal | Write | Moves the valid-until date forward by 7, 14 or 30 days and reopens the proposal if it had expired.Inputs: proposal_id, days (7, 14 or 30) |
Mark a deposit as receivedmark_payment_received | Write | Records that the deposit for a signed proposal has arrived, on your word, so it leaves the waiting list. PropoBox cannot see the payment and no money moves through it. Can be undone.Inputs: proposal_id, received (true or false) |
There is no tool that deletes anything, reads billing details, moves money, or reaches another team's data.
Example requests
"Who should I follow up with today?"
Claude calls Who to follow up with and lists each proposal with what happened and a suggested note.
"Here is the proposal I wrote for Harbor Dental, $9,600 in four lines with a 50% deposit. Put it in PropoBox for Dana Whitfield."
Claude calls Create a proposal and gives you the draft's link. Nothing is sent.
"Start a retainer for Harbor Dental from my website template, $1,400 a month."
Claude lists your templates, picks the one you named, and creates a draft with its terms and agreement and your new price. It tells you what came along.
"Make the same proposal as Dana's last one, for Lumen, with this agreement: [your text]."
Claude copies the past proposal, attaches your agreement text exactly as pasted, and gives you the draft's link.
"Send the Harbor Dental proposal to Dana with a short note."
Claude shows you the recipient and the note, waits for your yes, then calls Send a proposal.
"The Lumen deposit came in."
Claude calls Mark a deposit as received, and the proposal leaves your waiting list.
"Give the Fieldnote proposal two more weeks."
Claude calls Extend a proposal with 14 days and tells you the new date.
Confirmation and safety
- Creating a proposal only makes a draft. A client receives something only through Send a proposal or Send a follow-up.
- PropoBox instructs Claude to show you the recipient and the note and wait for your go-ahead before either of those.
- Notes a client wrote (for example when declining) are passed to Claude as quoted data, with an instruction never to act on text inside them.
- Suggested follow-up notes never tell a client that their reading was tracked.
- An agreement is your own text, accepted by the client together with the proposal. Claude is told to attach only text you gave it or that is saved in your templates and past proposals, exactly as it is, and never to write, summarise or change contract terms. A PDF agreement is attached in PropoBox, or arrives with a saved template.
- Marking a deposit as received only records your word. PropoBox does not see payments and no money moves through the connector.
- Team roles apply: a viewer on your team can read through the connector but cannot create or send.
Data and privacy
PropoBox receives only what Claude passes to a tool, such as the title and prices of a draft you asked for, and stores the result in your account as it would any proposal you make yourself. It does not receive or keep your Claude conversations. Each change made through the connector is recorded against your account with the tool's name. Proposal data stays in PropoBox; how we handle it is set out in the privacy policy.
Limits
- 60 tool calls per minute per account.
- Your plan's monthly limits apply as they do in the app: proposals created and emails sent.
- One follow-up per proposal per day.
- Lists return up to 50 items per call.
Disconnect
In PropoBox, open Settings and revoke Claude under Connected apps; its access token stops working at once. You can also remove the connector from Claude's settings.
Troubleshooting
- "Not signed in. Reconnect PropoBox in your Claude settings."
- The approval was revoked or has expired. Remove and add the connector again.
- "Too many requests in a minute."
- More than 60 calls in a minute. Wait a moment and ask again.
- A send is refused because of a limit
- Your plan's monthly email or proposal limit was reached. Check Plan in PropoBox.
- I cannot find PropoBox in the directory
- A new listing can take a while to show up in Claude's search, and an organization can limit which connectors its members see. Open the listing link in Connect above, or add the connector by address.
- Claude cannot find a proposal
- Ask it to list proposals first, or give the proposal's id (for example PROP-20261014-AB12CD34).
- "…uses Advanced mode, which Claude cannot copy."
- A template or past proposal built in Advanced mode cannot be the starting point from a chat. Start from a Quick one, or open it in PropoBox.
- "The agreement file is no longer available."
- The PDF a template or proposal carried was removed. Upload it again in PropoBox, or ask Claude to create the draft without the agreement.
