Signing a PDF well

Six small habits that keep a signed document clean and easy for the other side to accept.

  1. Sign on the line, not near it

The page is shown at full width, so drag the signature until it sits on the signature line, then use the size slider to match the writing around it.

  2. Date it where the form asks

Use Add date for a date in the same style, or Add text for a printed name, a title or an initials box. Each item is its own picture that you can move or remove.

  3. Sign the right page

Many contracts want a signature on the last page and initials on the others. Use the page arrows, add an item on each page that needs one, and check them before you download.

  4. Keep the original file

The tool saves a new file with -signed in its name and leaves the original untouched. Keep both, and send the signed copy only to the person who asked for it.

  5. Use a signature that looks like yours

A drawn signature is closest to a pen. A typed one is easier to read. Either way, use the one you would use on paper, because the other side may compare it with earlier documents.

  6. Know what a picture can prove

A signature added this way is a picture on the page. It does not prove who made it or when. If you need a record of who signed and when, use a tool that keeps one.

What it does, and what it does not

A picture of a signature is the right tool for many documents and the wrong one for some. Know which you have.

What this tool makes

  • Your drawn or typed signature, placed on the page as an image
  • A new PDF with the signature, date and text you added
  • Nothing sent to a server: the file is read and written in your browser

What it does not make

  • A certificate-based digital signature that locks the document against changes
  • A check of who you are, or a record of when and from where you signed
  • Legal advice on whether a signature is enough for your document
